How to send automatic signature reminders?

"The approver received the emails but deleted them"- Google Docs Editors Community

This is a common problem for Google Forms users when requests go out by email. For example, you send each purchase request to an approver and the order has to go out this week. The email can get deleted or sink in the inbox and nothing tells you. Google Forms can't send a reminder, so you keep a list of who has what and write each reminder yourself. With Formesign, you can set a reminder once and anyone who hasn't signed in time gets a fresh email with the link. Even better, you can send it again yourself if you need to.

Let's start. Create your form and follow the steps below.

1. Open the signer list

  1. Click on Create your form, click Enter your form name, type Purchase request and click Generate. It takes about a minute.
  2. Check the outline and click Proceed.
  3. You land on the EDIT tab, where the Add eSignature dialog says Your signing link is ready. Close it.
  4. Click the pencil on the Signature workflow card.
  5. The AI picks the signers from your form's name, so in Setup workflow, type over them so that they read Requester and Approver, delete any others from their three dots and click Next.
  6. Close the Your signing link is ready dialog.
  7. Click the pencil again.

2. Turn on Set reminder

Click the three dots beside Approver and switch on Set reminder. Under Remind if not signed after, use − and + to set the hours. Click Next to save it and close the Your signing link is ready dialog.

3. Share the link

Click Configure key fields (the notebook icon) in the last After page row and check Get name from and Get email from. They can start on the wrong person and the request email and the certificate use them, so set them to the first signer and click Save. Each signer starts on Google Sign-in. If your staff have no Google account, click each signature field and click Not required beside Verify identity. Click SHARE, click Copy and send the link to your staff.

4. The approver gets the reminder

If they haven't signed in time, they get this email with a new Review & sign button, even if they deleted the first one. The hours count from when the requester signs.

5. Send it again if you need to

Each signer gets one reminder for each request. To send another, open SIGNED PDF (If you do not see that tab, reload the page), click the three dots on the card, choose Activity and click Resend request.

Summary

If an approver deletes the email or loses it in the inbox, nothing tells you and you end up keeping a list and chasing by hand. With Formesign, you set a reminder once and anyone who hasn't signed in time gets a fresh email with the link. You can send it again from Activity. Create your form and complete the steps above.
