How to Create a WhatsApp Order Form?

This is a common question from people who cook and sell from home. For example, you might take food orders on WhatsApp and need the name, phone and full order together before you start cooking. A chat rarely gives you that, so you ask for the address, check the items and work out the total. A free Google Form can collect the order, but it can't add it up or send it to your chat. Let's start. Create your order form and follow the steps below.

Add products and prices

  • On the page that opens, click "Enter your form name". Type your form's name, click Generate and wait about a minute.
  • Check the outline it suggests and click Proceed.
  • Once you create the form, you will land on the form's "Edit" tab. If it asks "Do you want to preview this form?", click No.
  • If you imported a Google Form, it makes a copy of your form. If it says "Your form is private or protected", click Next and give access or publish your form in Google Forms and paste that link. Select your currency and click Continue. When it says "Your order form is ready", click Preview your form, then Edit form.

Your form already has products, questions for the delivery details and an Order Amount question.
  • Click on each product to enter its name and price. For example, "White Mushrooms 250g pack". The products can come with a price of 0, so the total will be 0 until you enter your prices.
  • (Optional) Add images of your products.
  • To add more products, click on Add product in the toolbar on the right.

Link the Google Form with your Whatsapp

Your form does not send orders to WhatsApp until you do this.
  • Click on the gear icon in the last After page row above the Submit button.

If your prices are in the wrong currency, select your currency in Currency here.
  • Click On submit and select Submit response to WhatsApp.
  • Under Route to this number, enter the WhatsApp number that you want to receive your orders on. Make sure to enter it with your country code starting with a plus. For example: +1 650 699 6650
  • Click Save.

Neartail does not check this number, so make sure it is correct.

Order Amount

  • Click on the "Order Amount" field, then click the gear icon.
  • Click on the "Answer" tab.
  • On the "Calculate" option, you will find Neartail's custom formula named "TOTAL" (in all caps). It has already been written for you as TOTAL()
  • Click Save.
You are now done with the formulas. You can now check how it works!

Preview & test the form and its calculations

  • Click on the "Share" option on the top of the Neartail's app.
  • Click on Link, then click on "Open" to open up the link of this customized form.

Your Google Form will be rendered into a neat looking form. You can now select the products and change the quantity to see how the calculation of Order Amount field works. You can see that it is dynamically changing as you change the order quantity. Works like a charm. Isn't it?

How will you receive the order?

When your customer clicks Submit on a computer, they will see "Scan this QR code to confirm your order!". They scan it with their phone or, if WhatsApp is already on that computer, click the link below it.

WhatsApp will open with the order written out. When they press send, the whole order will reach your WhatsApp number in one message, with their name, phone number and the amount.
