How to Create a WhatsApp Order Form

This is a common question from small shops and food sellers whose customers already message them on WhatsApp. You want their orders to arrive there too. Taking orders by chat means typing out products and adding up totals by hand and a Google Form on its own sends nothing to WhatsApp and cannot show an order summary or a total. With Neartail, you can create a WhatsApp order form. Your customers choose from your menu, see the total and the order reaches your WhatsApp as a message. Even better, you can just reply to that message to agree a delivery time and ask them to pay in the same chat.

Let's start. Create your order form and follow the steps below.

Step 1: Create an online order form

  • On the page that opens, click "Enter your form name". Type your form's name, click Generate and wait about a minute.
  • Check the outline it suggests and click Proceed.
  • Once you create the form, you will land on the form's "Edit" tab. If it asks "Do you want to preview this form?", click No.
The tabs Edit, Preview, Share and Orders, with Edit marked
  • ADD PRODUCTS AND PRICES: Your form comes with products and prices. Click on each product and check its name and price, because a generated product can have no name and a price of 0 and the total on the chat will be 0 too
  • Your prices use the currency of your browser's location. To use another one, click on the ⚙️ icon in the last After page row above the Submit button, change Currency and click on Save
  • To add another product, click on the product before it and click Add product in the toolbar on the right. For example, "Grocery Essentials Kit#1 Pulses,Tea powder, Oil"
  • (Optional) Add images of your products

  • Delivery details: Your form already asks the customers delivery details, like their name, phone number and address, under Contact Details
  • Order Total and Order Summary: Your form already has an Order Amount question that adds up by itself and a Review and place order section that shows the bill

Step 2: Configure your WhatsApp number with this form

  • Your form does not send to WhatsApp until you do this. Click on the ⚙️ icon in the last After page row above the Submit button
The After page 1 row above the Submit button, with the gear icon marked
  • Click on the On submit tab and select Submit response to WhatsApp
  • Enter the WhatsApp number that you have handy to test it in Route to this number, such as +1 650 354 2345. It does not check the number, so type it carefully
  • Click on Save

Final Step: Testing!

  • Click on "Share" tab, click Link and click Open
The Link tab of Share, with Link and the Open button marked
  • It is better to use two different WhatsApp numbers for testing. One to submit a test order like a customer and the other to receive the order, like the store owner
  • Create a test order by entering your choices on your order form
  • You can notice that the Order summary and the Total are neatly calculated before you submit the form
  • Click on "Submit"
  • On a computer, it says "Scan this QR code to confirm your order!". Scan it with your phone or, if WhatsApp is installed on this computer, click the "click here" link
The page saying Scan this QR code to confirm your order! with the QR code and the click here link
  • It opens your WhatsApp and asks if you want to "Chat on Whatsapp with XXXXXXXX" (the number that you configured earlier)
  • Continue with the chat
  • Your order and contact details are readily copied into the WhatsApp chat
  • Press send button to confirm
  • "Ding!" The order you submitted would have been sent to the whatsapp number that you configured to receive the submissions

Summary

If you want orders on your WhatsApp, a Google Form cannot show a total or send the order there. With Neartail, your form has the order summary and the total and your orders reach your WhatsApp as messages. Create your order form and complete the steps above.
